How to require a search reason for LPR plate lookups

Enable an organization setting that requires users to select a documented reason before searching for a license plate — supporting audit and compliance requirements.

Overview
Organization admins can enable a setting that requires users to select a reason before performing an LPR plate search. This supports compliance and audit requirements by ensuring every search is logged with a documented purpose. Search reasons can also be used as a filter in Search and the Audit Log.

How to Enable the Search Reason Requirement

  1. Go to Manage Organization → Settings.

  2. Under LPR Settings, find Require Search Reason.

  3. Toggle the setting on.

  4. Click Save.

What Users Experience When This Is Enabled

  • Before searching for a plate, users are prompted to select a reason from the following options:

    • Suspect Vehicle

    • Missing Person

    • Wanted Person

    • Stolen Auto

    • Other

  • The selected reason is recorded in the Audit Log alongside the search.

  • Searches cannot proceed without a reason selected when this setting is enabled.

Filtering by Search Reason

Search reasons are available as a filter in both Search and the Audit Log, letting admins and investigators narrow results to a specific documented purpose.

  • In Search (LPR), open the filter panel and select one or more reasons under the Search Reason filter. Results update to show only LPR events associated with those reasons.

  • In the Audit Log, use the Search Reason filter to review all searches logged under a particular justification — useful for compliance audits and usage reviews.

Notes

  • This setting only affects LPR plate searches. Other search types are unaffected.

  • Only organization Owners or users with the organizations update permission can change this setting.

  • Search reasons are visible to admins in the Audit Log for compliance review.
